How to create a quotation in a few minutes

The form follows the same order as the quotation itself, so you can work your way down. Everything you type shows up straight away in the live preview on the right. In a hurry? Press Load example quotation to fill it with sample data you can edit.

  1. Choose the type — quotation, estimate or price quote — and give it a number. You can hide the title at the top if you do not want it on the PDF. The dates fill themselves in, with the quote valid for 30 days.
  2. Add your business details and logo. You do this once; next time they are already there.
  3. Say who it is for: the customer's name and, if they need it, their address.
  4. List what you are quoting for. Press Add item and enter its name, quantity, unit, price, an optional discount and whether it is taxable. Each item shows as one tidy line you can edit, copy, move or remove.
  5. Add a quote-wide discount, tax and any fees. The summary shows the subtotal, discount, tax and total as you type.
  6. Add a message, terms and a signature if you like. Empty parts are hidden on the PDF.
  7. Pick one of six designs, a colour and the paper size, then press Create PDF.

How the discounts and tax are worked out

Each item can have its own discount, as a percentage or a fixed amount, which gives its net line amount. The optional quote-wide discount is then spread across the items in proportion. Finally, the tax rate you enter is charged on the taxable items only, after the discounts — plus shipping and fees if you mark them taxable. Every amount is rounded to the currency you chose (for example two decimals for dollars, none for yen), so the lines, discount, tax and grand total always reconcile.

A worked example. Two items — Website Design 2 × 100 (200) and Consultation 1 × 50 (50) — give a subtotal of 250. A 10% quote-wide discount takes off 25. A 10% tax on the remaining 225 adds 22.50. The grand total is 247.50. Load the example above to see it and change any number.

Quotation, estimate or invoice?

A quotation is a firm price for the work. An estimate is your best guess, which may change. Both come before the work, to help the customer decide. An invoice comes after, to ask for payment. When your quote is accepted, you can recreate the same details as an invoice with our Invoice Generator.

Six designs, one quotation

The same details flow into all six layouts, so you can switch design without losing anything:

  • Classic Professional — a traditional header and a clear ruled table. Good for most businesses.
  • Modern Minimal — lots of whitespace and light lines. Good for freelancers and consultants.
  • Corporate Blue — a coloured header band and structured blocks. Good for companies and agencies.
  • Elegant Premium — refined type and restrained borders. Good for design and premium services.
  • Creative Bold — a strong heading and a bold total. Good for studios and creative teams.
  • Compact Business — a space-saving table for longer item lists. Good for retailers and contractors.

Tips for a quote that gets accepted

  • Describe each item plainly, so the customer sees exactly what they are paying for.
  • Give the quote a sensible "valid until" date, so prices are not held open forever.
  • If you ask for a deposit, show it as a requested advance — the total stays the full amount.
  • Keep a copy. Download the PDF, or save a draft file you can load again later.

Frequently asked questions

Is the quotation generator really free?

Yes, completely. Make as many quotations and estimates as you like. There is no account, no trial and no watermark on the PDF.

What is the difference between a quotation, an estimate and an invoice?

A quotation or estimate is given before the work, to tell the client what it will cost. An invoice comes after, to ask for payment. This tool makes the quote or estimate; when the client accepts, our Invoice Generator turns the same details into an invoice.

How are discounts and tax worked out?

Each item can have its own discount, as a percentage or a fixed amount. You can also add one quote-wide discount. The tax you enter is then charged only on the taxable items, after the discounts. Every amount is rounded to the currency, so the lines, tax and total always add up.

Can I choose which items are taxable?

Yes. Each item has a "Taxable" switch. Turn it off for items that should not be taxed, and the tax is worked out only on the rest. You can also decide whether shipping and fees are taxed.

Will my details be saved?

Only in your own browser, on this device, so the form is ready next time. Nothing is sent to our server. On a shared computer, press "Clear form" when you are done. You can also download a draft as a file and load it back later.

Can I print A4 and US Letter?

Yes. Choose the paper size in the Design step. The PDF and the preview use the same size, and the totals match exactly.

What happens with a long quotation?

It simply continues onto more pages. The preview shows where each new page starts, and your signature and closing line stay at the bottom of the last page. You can add up to 100 items.
